Enter a few numbers into our calculator and in a minute you'll see how much capacity you could give people back – in hours and in money.
Set how many hours a week one project manager currently spends on these activities. The defaults are averages from practice – adjust them to your reality.

Enter hours a week for one person, not the whole team.

How the calculator works and what it's based on → Sources and methodology
The time that vanishes today in coordination and admin is a recurring monthly value. Here it is in hours and in money.
of capacity back to one project manager
of capacity back over twelve months
This is a recurring monthly value of people's capacity, not a one-off benefit. The real outcome depends on the type of projects, the quality of briefs and how consistently the team adopts the new way of working.
A tool records; a system runs the work. See what ProjektOS looks like from the inside and what stays with you after rollout.
I want to win back 22 hours a monthExtensive Microsoft research shows people are increasingly overloaded and constantly interrupted. It's not a lack of ability – it's the limit of human attention.
Each stripe is one interruption. Focused work between them lasts about two minutes.

Every number in the calculator has a source. Where it's a SHINE modelling assumption, it's marked.

Section "Human attention hasn't grown": 275 interruptions a day · an interruption roughly every 2 minutes · 48 % of employees and 52 % of leaders describe their work as chaotic and fragmented · +122 % slide edits in the last 10 minutes before a meeting · +15 % messages outside working hours (58 messages a day) and +16 % meetings after 8 p.m. year-on-year · 30 % of meetings across time zones.

Context for the shift from productivity to human judgement: AI agents take over the routine, people keep the decision and quality control. Not used for any number in the calculation.
Sources for the time-saving coefficients
The 40–70 % coefficients come from the average speed-up of routine PM activities with the right use of AI: minutes and reports (OpenAI State of Enterprise AI 2025, Anthropic Economic Index 2025), planning and WBS (Easy Project 2025, Wrike 2026), work context (EY Work Reimagined 2025). ShineStarlight is part of ProjektOS, so the calculator uses the same time-saving logic.
People's time value (recurring monthly value):
saving per 1 PM [h/week] = minutes × 0.70 + reports × 0.60 + planning × 0.50 + communication × 0.40
hours a month = saving per 1 PM × 4.33 weeks × number of PMs
value of time = hours a month × hourly rate
annual equivalent = monthly value × 12
The 0.40–0.70 coefficients are a SHINE modelling assumption based on research into the speed-up of routine PM activities with AI, not a measurement from a single study. The result is an illustrative estimate, not a guarantee.
This calculator computes a recurring monthly value of people's capacity. The value of project benefits is handled by the sister calculator; that one works with a share of the amount you enter. The two numbers are of a different nature, so they don't add up.
